Ball pit balls are cheap per piece, but they are not instant. For most B2B buyers the real risk is not price — it is time. A ball travels from our Wenzhou factory to a playground, rental warehouse or TV set thousands of kilometres away, and every link in that chain adds days. This guide breaks the journey into five stages, gives realistic times for each, and explains why some orders are planned restocks while others are genuine emergencies.
Why Order Timing Matters More Than Price
A late shipment does not just cost freight money. It can cancel a TV shoot, leave a wedding pit half-empty, close a play area on the busiest weekend of the year, or miss a product-launch deadline. The balls themselves are fast to make. The clock is everything that happens before and after production: confirmation, packaging, customs, ocean or air transit, destination clearance and final trucking.
Two real scenarios we see often:
- TV production (Australia): a fixed shooting week meant the pit had to be camera-ready on day one. Broadcast schedules do not move, so a delayed shipment meant either an empty set or buying local retail balls at several times the cost.
- Corporate event (USA): a branded ball pit for a product launch with a hard date. The buffer was cut too thin and a customs hold left only a few days to spare. It worked, but the margin was dangerous.
The Full Order-to-Door Timeline
Here is how a typical sea shipment unfolds, stage by stage, from Wenzhou / Ningbo to your door:
| Stage | What happens | Typical time |
|---|---|---|
| 1. Order confirmation | Quote approval, PI, deposit / payment, production slot booking | 1-3 working days |
| 2. Production & packaging | Injection molding, cooling, quality check, packing | 3-15 working days |
| 3. Factory to port & export | Truck to Ningbo port, export customs declaration, container loading | 2-5 days |
| 4. International transit | Ocean FCL/LCL or air freight to destination port/airport | 3-35 days |
| 5. Destination & delivery | Import customs, possible inspection, trucking to your warehouse | 3-10 days |
Total typical door-to-door by sea: 25-60 days depending on destination. Air freight: 10-18 days. Express courier: 5-8 days (samples only).
Stage 1: Order Confirmation (1-3 Working Days)
This is the part buyers control most. The faster you confirm, the earlier production starts. The steps are:
- You send the inquiry with ball size, colors, quantity, packaging and destination.
- We confirm availability and send a quotation / proforma invoice.
- You approve the PI and send payment or deposit.
- We book a production slot and confirm an estimated completion date.
Delays here are usually caused by unclear specifications or slow payment approval. Sending a complete RFQ — size, color reference, quantity per color, packaging type, target delivery date — saves a round trip and can cut a day or two.
Stage 2: Production & Packaging (3-15 Working Days)
This is where the biggest variability sits. How long it takes depends on quantity, number of colors, weight requirements and customization.
Production time by order size
| Order size | Stock colors | Notes |
|---|---|---|
| Small: under 50,000 balls | 3-5 working days | Fastest turnaround; ideal for events or first-time trial orders |
| Medium: 50,000-200,000 balls | 7-12 working days | Common for growing operators and mid-size rental fleets |
| Large / full container: 200,000+ balls | 10-15 working days | Needs production scheduling, especially in peak season |
What changes production time?
- Quantity: larger orders need more machine hours and more packing labour. A full 40HQ container holds about 200,000 x 70mm balls.
- Number of colors: each color is a separate production batch. One color is fastest; five colors need more changeovers and cleaning time.
- Weight / wall thickness: heavier balls use more material per shot and may cycle slightly slower. Standard weights are faster than thick-walled, heavy-duty specifications.
- Custom Pantone or RAL colors: add 7-10 working days for color matching, sample confirmation and first-batch sign-off.
Packaging time by type
| Packaging type | Time | Best for |
|---|---|---|
| Standard PE bag or mesh bag | 1-2 days | Bulk wholesale, FEC restock, OEM projects |
| Printed PE bag with label | 2-3 days | Retail-ready or branded resellers |
| Custom retail box / display box | 3-7 days | Retail shelves, gift sets, premium events |
| Mixed small packs (20/30/50/70 pcs) | 2-4 days | Party favour shops, online retail, combo kits |
Stage 3: Factory to Port & Export Customs (2-5 Days)
After packing, goods travel from our Wenzhou factory to the port of loading, usually Ningbo-Zhoushan (the closest major container port). The steps are:
- Factory to port trucking: 1-2 days.
- Export customs declaration: 1-2 days for normal goods. If customs selects the shipment for inspection, add 1-3 days.
- Container loading and vessel waiting: usually same day or next day after customs release, depending on the sailing schedule.
Toys and plastic goods under HS 9503 normally clear export customs smoothly, but incorrect paperwork or a mismatched HS code can trigger an inspection. We handle the documentation on our side.
Stage 4: International Transit (3-35 Days)
This is the longest stage for sea freight and the most expensive for air freight.
Shipping modes compared
| Mode | Port-to-port / airport-to-airport | Door-to-door | Relative cost | Best for |
|---|---|---|---|---|
| Sea FCL (full container) | 12-35 days by region | +7-14 days handling/delivery | Lowest | Bulk restocks, full containers |
| Sea LCL (shared container) | FCL time + 5-10 days | +7-14 days | ~1.3-1.8x FCL per CBM | Orders under ~14 CBM |
| Air freight | 3-7 days | +3-5 days handling/delivery | ~5-8x sea | Urgent top-ups, event splits |
| Express courier | 2-4 days | 3-6 days | ~8-12x sea | Samples only |
Door-to-door sea freight by destination (from Wenzhou/Ningbo)
These ranges include production (3-15 days depending on order size and colors), export handling, ocean transit, import customs and inland delivery. Plan against the high end:

Seasonal buffers: peak season (September-December and back-to-school) can add 3-7 days due to port congestion and tighter vessel space. Chinese New Year factory closures add 2-4 weeks if the order lands in late January or early February.
Stage 5: Destination Customs & Inland Delivery (3-10 Days)
The shipment is not done when the vessel arrives. The final steps are:
- Port discharge and terminal handling: 1-3 days.
- Import customs clearance: 1-3 days with correct documents. Inspections add 3-7 days.
- Inland trucking to your warehouse: 1-5 days depending on distance from port.
For the Middle East, toys entering GCC countries need G-Mark certification. For Europe, CE/EN71 documentation should be ready. For the USA, ASTM F963 and CPSIA compliance are standard. First-time importers should budget extra days for customs broker setup.
Urgent Orders: Fixed-Date Events & Peak Seasons
Not every order has the same time pressure. Knowing which type yours is changes how you ship.
Fixed-date urgent orders
These have a hard deadline that cannot move. The only safe answer is air freight or a split shipment (air for the event, sea for the rest). Common examples:
- TV and film productions
- Weddings, engagement parties and private celebrations
- Corporate product launches and brand activations
- Award shows, galas and fundraisers
- Music festivals, concerts and outdoor events
- Mall pop-ups, retail window displays and trade-show booths
For these, order at least 3-4 weeks ahead even with air freight. Custom colors are usually not possible in a true emergency because they need their full production window.
Peak-sensitive orders
These are predictable but dangerous if missed. Add 2-3 weeks to your normal lead time:
- Spring wedding season
- Back-to-school (August-September)
- Pre-Christmas and holiday season (October-December)
- Summer holiday peaks for indoor playgrounds
Planned restocks
These are ongoing, scheduled orders. They are not urgent, but lead-time discipline still matters:
- Quarterly FEC chain restocks
- OEM playground project deliveries
- Daycare and kindergarten chain maintenance
- Annual rental-fleet refresh
Recommended Lead-Time Buffer
| Scenario | Order this far ahead |
|---|---|
| Standard sea restock, stock colors | 8-10 weeks before you run low |
| Peak season (Sep-Dec, back-to-school) | +2-3 weeks on top |
| Custom Pantone / RAL color | +7-10 days production |
| Custom retail packaging | +3-7 days production |
| Fixed-date event | Air freight; 3-4 weeks minimum |
Practical Tips to Protect Your Date
- Book production before the sailing. A missed sailing moves the whole timeline by a week or more.
- Split shipments for tight dates. Send 20-30% by air so the pit is event-ready, and the remaining 70-80% by sea to control cost.
- Keep 5-10% spare inventory. Commercial pits can lose 5-10% of balls per season through damage, cleaning discard or theft.
- Send complete specs in the first message. Size, color, quantity per color, packaging, destination and target date. Fewer Q&A rounds = faster start.
- Prepare destination documents early. CE/EN71 for Europe, ASTM/CPSIA for the USA, G-Mark for GCC. Delays here are the most common cause of urgent orders going wrong.
